Position Title:  Administrative Assistant

Reports To:     Director of Athletics

Terms of Employment:  Twelve months

JOB DESCRIPTION: The Administrative Assistant is responsible for assisting with the day-to-day operations of the Department of Athletics.  This individual works directly under the Director of Athletics, the coaches and staff personnel in performing a variety of tasks, including correspondence, travel requests, purchase orders, personnel files, etc. for the Athletics Department.  The Administrative Assistant is required to abide by the rules and regulations established by Paine College and the NCCAA.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Works directly under the Director of Athletics and Coaches
  • Handles communications from the Director of Athletics and coaches to the public, including monitoring visitors, answering telephone calls, placing telephone calls, and scheduling appointments
  • Keeps a record of all income and revenue generated by the Athletics Department
  • Performs typing and other secretarial duties
  • Issues office supplies to coaches and staff as needed
  • Maintains a comprehensive filing system relating to the various facets of athletics operations
  • Submit all requisitions for travel, expense reports, and student-athlete travel notices
  • Assists with ticket officer for the Athletics Department for all home games involving ticket sales
  • Handles and opens all athletics mail, unless marked "Personal"
  • Other duties as assigned

 

QUALIFICATIONS:

  • College education preferred - but not required, or at least five years experience
  • Must have prior experience in secretarial skills, or office manager
  • Strong organizational skills
  • Enjoys working in a creative, dynamic and fast-paced environment
  • Works well independently and as part of a team
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Strong written and verbal communication skills
  • Must be of good moral character with conduct consistent with the College and state code-of-conduct

 

EVALUATION:  Performance of this job will be evaluated in accordance with the College's evaluation instrument for faculty/staff
