GENERAL SUMMARY:

The Senior and Contracts/Grants Accountant serves as the Chief Accountant for the College and is responsible for completing tasks assigned to support the day-to-day operations of the Controller's Office.

 

ESSENTIAL JOB FUNCTIONS:

Senior Accountant Responsibilities

 

  • In consultation with the Financial Consultant, oversees the College's financial reporting systems and maintains accurate and detailed financial records, including, reviewing the accuracy of journal entries, the general ledger, bank and account reconciliations, and the preparation of financial statements such as the monthly unaudited Statement of Financial Position, Statement of Activities, and Statement of Cash Flows, in accordance with Generally Accepted Accounting Principles.
  • Assist in the completion of tasks related to annual audits, including but not limited to account analyses and special reports.
  • Prepare assigned monthly bank reconciliations and account analysis (including, but not limited to federal funds, investments, tax withholding accounts and receivables) and conduct related follow up and resolution of reconciling items with various departments within a timely manner.
  • Prepare monthly journal entries by the 3rd of the month for review by Controller.
  • Assist in editing account payable transactions, month end close process and financial reporting.
  • Promotes accountability and proper stewardship of all College funds.
  • Ensures compliance with standards issued by the Financial Accounting Standards Board, the American Institute of Certified Public Accountants, the National Association of College and University Business Officers, the Internal Revenue Service, Department of Education, and other agencies.  Maintains current knowledge of all accounting issues affecting higher education.
  • Perform other related duties as required.

 

Contracts and Grants Accountant Responsibilities

  • Provides leadership in monitoring grant awards, grant drawdowns and other grant reporting and reconciliation functions.  Ensures compliance with terms and conditions of awarded grants.
  • Monitor Title III resources to ensure accountability. Assist with monitoring the utilization of Title III financial resources to ensure fiscal accountability. Maintain account ledgers to maintain, control and perform balancing operations on accounting activities for Title III funds.
  • Responsible for budget oversight, managing and monitoring all Title III accounting functions to ensure smooth operations. Process all Title III related budget amendments/modifications. Develop accounting procedures to improve program operations and compliance with current college, federal and state policies and procedures.
  • Prepare and submit annual operating budgets and internal financial reports on the status of all Title III funded programs and/or services.
  • Provide expenditures and other financial data for the submission of interim and annual performance reporting. Prepare monitoring reports and other reports to ensure guidelines are met.
  • Prepare and post all interdepartmental and other Title III related journal transfers in the Jenzabar System. Initiate all budget requirements for the Office of Sponsored Programs and Title III.
  • Submit annual budgets to Sponsored Programs for ongoing Title III activities. Prepare budget reports for the Director as needed.
  • Review operational budgets to ensure budgets are balanced and monitor expenditure of funds for all Title III programs. Close all expired Title III projects and coordinates closeout processes with all other applicable administrative departments. Reconcile general ledger to commitment and control in the Jenzabar System.
  • Maintain all fiscal required documentation and transactions relative to Title III activities. 
  • Perform other related duties as required.

  • Must be detail oriented and possess analytical ability.
  • Ability to prioritize multiple assignments and projects, mobilize efforts towards completion, and deliver with a high degree of quality on a consistent basis.
  • Demonstrate the ability to think critically and evaluate procedures and make recommendations that are appropriate to improve productivity.
  • Must be able to communicate with faculty, staff, and college community in a professional, positive and helpful way.

 

EDUCATION AND EXPERIENCE:

 

Mandatory:

 

  • Bachelor's degree in accounting, Finance, Business Administration/Management or related field, minimum 3-4 years of experience in a similar position in the Controller/Business Office, preferably in a non-profit organization.


Preferred:

  • Master's degree (MBA) in Accounting, Finance, Business Administration/Management.  5 years of experience in a similar position in the Controller/Business Office in a college and/or university environment.
